01The Agreement

Setting the Rules of Engagement

Once successful, you will receive a Grant Offer Letter (GOL). This is a legally binding contract. It outlines your 'Eligible Expenditure'—exactly what you can and cannot spend the money on. Deviating from this without prior written approval is the fastest way to have funding clawed back. Read every clause; the GOL is your bible for the next 12 to 24 months.

02The Paper Trail

Audit-Ready from Day One

Grants are typically paid in arrears against proven spend. You don't just need a receipt; you need an audit trail. This includes bank statements showing the transaction, redacted payroll records for staff time, and often three independent quotes for any equipment purchased to prove 'Value for Money.' If you cannot prove the spend with a clean paper trail, the provider will not reimburse the cost.

03Milestones

Reporting on Progress, Not Just Profit

You will likely be assigned a Monitoring Officer. Every quarter, you must submit a Progress Report detailing your achievement against 'Milestones' set in your application. If you fall behind on a technical milestone, be transparent immediately. Grant providers are partners; they prefer a revised timeline over a last-minute surprise.

04Impact

The Post-Project Evaluation

Most grants require an 'End of Project' report and sometimes longitudinal monitoring for 3-5 years. They want to see the 'Additionality'—did this grant actually create the jobs or the CO2 savings you promised? Exceptional reporting here is what builds the reputation required to win much larger, multi-million pound national grants in the future.

Detailed Procurement Policy

A written document demonstrating your organisation follows a competitive tendering process — typically three quotes for any purchase over £1,000 — to satisfy 'Value for Money' requirements.

Dedicated Bank Account Setup

Proof of a separate project bank account (screenshot of opening statement or bank letter). Commingling grant funds with operational accounts is a common compliance failure.
